Health and biometric consent, collected at reception

Gyms, studios, spas and salons ask about health and often use fingerprint entry. Members should be able to choose, and to change their mind, without a form at the desk.

A reception kiosk asking how the clinic may use a patient’s details. The optional purposes start unticked, and saying no takes one tap.

Where you collect consent

  • Reception kiosk

A tablet locked to your property walks members through the notice and records consent with OTP.

  • QR at the counter

Members scan, read the notice in their language, and consent on their own phone.

  • WhatsApp reminders

Class reminders only for members who chose them, with one-tap opt-out.

Your notice, already started

Things to watch in your industry

  • Biometrics: always offer a non-biometric option (card or PIN). Delete templates soon after membership ends.
  • Health screening answers are sensitive. Limit access to trainers and therapists who need them.

Guidance for your team, not legal advice.

Systems that need to hear about changes

When someone withdraws or asks for erasure, these are the places their data usually lives. Connect the ones we support; the rest go on a checklist for your team.

  • Gym management software
  • Biometric or card access system
  • WhatsApp Business
  • Payment gateway
  • Excel member lists

Records you may have to keep

An erasure request does not override a legal duty to keep some records. Your team picks the reason, and the person is told which records stay and why.

  • Invoices and accounts

We must keep invoices and payment records for tax purposes. We keep only what the bill needs.

  • Open dispute or legal claim

Some records must be kept while a dispute, complaint or legal claim is open.
