Parental consent you can show when a parent asks

Schools and coaching centres handle data about children every day. The DPDP Act asks for verifiable consent from a parent or guardian, and parents increasingly ask what you do with photos and marks.

Where you collect consent

  • Admission forms

Collect consent for each purpose on the admission form, online or on paper with a QR code at the office.

  • Parent portal

Parents see what they agreed to and can change it without calling the office.

  • Event photos

Keep a separate, optional choice for photos and videos, and honour withdrawals before the next newsletter.

Your notice, already started

The education template sets up 7 purposes, each with its data items and how long it is kept. Edit anything; your counsel should review it before you publish.

Many of your users may be children

Under the DPDP Act anyone under 18 is a child, and you need verifiable consent from a parent or guardian. A dedicated parental consent flow is on our roadmap; until it ships, record consent from the parent or guardian as the person giving it.

Things to watch in your industry

  • Children: anyone under 18 is a child under DPDP. You need verifiable consent from a parent or lawful guardian (Rule 10).
  • Do not track children or target ads at them (s.9(3)). Avoid analytics and marketing cookies on pages aimed at students.

Guidance for your team, not legal advice.

Systems that need to hear about changes

When someone withdraws or asks for erasure, these are the places their data usually lives. Connect the ones we support; the rest go on a checklist for your team.

  • School ERP / student information system
  • Learning app or LMS
  • Fee collection gateway
  • WhatsApp or SMS for parents
  • Admission enquiry forms
  • Google Workspace or Microsoft 365

Records you may have to keep

An erasure request does not override a legal duty to keep some records. Your team picks the reason, and the person is told which records stay and why.

  • Academic records

Schools and colleges keep marks, certificates and admission records so they can verify them later.

  • Invoices and accounts

We must keep invoices and payment records for tax purposes. We keep only what the bill needs.

  • Open dispute or legal claim

Some records must be kept while a dispute, complaint or legal claim is open.
